03What we collect and why
When you visit the website
This website is a set of plain pages. When you open one, your browser sends technical information, as it does to every website: your IP address, browser and device type, the page you ask for, the page you came from, and the date and time. Our hosting provider uses it to deliver the site and to protect it from attacks and abuse, and may keep it for a short time in server logs.
The site has no analytics, advertising or social media trackers. It does not set cookies, and it does not store anything in your browser’s local storage (see section 05).
Legal basisOur legitimate interest in running a secure, working website (Art. 6(1)(f) GDPR).
The fonts on this site
The site’s fonts (Geist, Geist Mono and Caveat) are loaded from Google Fonts, a service of Google. To send the font files, Google receives your IP address and the technical details your browser sends with any request. Google says it does not set cookies when serving these fonts.
Legal basisOur legitimate interest in showing the site as designed (Art. 6(1)(f) GDPR).
When you email us
Our email links open your own email app, addressed to [email protected]. When you write to us, we receive your name, email address and whatever you include, such as your company, your role, your phone number and what you tell us about your business. We use it to reply and to follow up on your request.
Legal basisOur legitimate interest in answering messages (Art. 6(1)(f) GDPR), or steps you ask us to take before entering into a contract (Art. 6(1)(b)).
When you book a call
Our “Book a call” buttons open a short form. When you send it, we receive your name, work email address and company, what the call is about, what takes the most time today, when suits you and your time zone, together with the page you sent it from. It reaches our team by email through our email delivery provider and is also kept for a short time in our server logs. We agree a time with you by email and send a calendar invitation. The call is by phone or video. During the call we take notes of what you tell us about your business, so we can follow up and prepare a proposal. We do not record calls.
Legal basisSteps you ask us to take before entering into a contract (Art. 6(1)(b) GDPR), and our legitimate interest in arranging and following up calls (Art. 6(1)(f)).
Customers, partners and suppliers
We keep the business contact details of the people we work with (name, job title, company, email address and phone number), our correspondence, and contract and billing details. We use them to manage our relationship, contracts and invoices.
Legal basisPerforming a contract (Art. 6(1)(b) GDPR); our legitimate interest in running and growing our business (Art. 6(1)(f)); and legal obligations such as accounting and tax rules (Art. 6(1)(c)).
News about our products
We may send news about our tools to people we work with, or who have asked for it. Every message has a simple way to opt out, and you can also tell us at any time.
Legal basisOur legitimate interest in keeping customers and contacts informed (Art. 6(1)(f) GDPR), or your consent where the law requires it (Art. 6(1)(a)).
Legal obligations and claims
We keep some records because the law requires it, respond to lawful requests from authorities, and use data where needed to establish, exercise or defend legal claims.
Legal basisLegal obligations (Art. 6(1)(c) GDPR) and our legitimate interests (Art. 6(1)(f)).
Do you have to give us your data?
No. You can read this website without telling us anything. If you write to us, we need your email address to reply.
We do not use the data in this policy for decisions about you made only by automated means.
04If you apply to work with us
On our Careers page you can write to us about working with us, with or without an open role, by email to [email protected] with the subject “Careers”.
What we receive
Whatever you choose to send: usually your name, contact details, CV, a covering note, your work history, education and skills, links such as a portfolio or a LinkedIn profile, and the role or kind of work you are interested in. If we meet, we add our notes from the conversation, and the results of any task we ask you to do. With your permission, we may also speak to referees you name.
Please do not send sensitive information we have not asked for, such as health details, religion or political views, or ID documents.
Why we use it
To read your application, reply to you, decide whether to invite you to talk, and, if there is a fit, make you an offer.
Legal basisSteps you ask us to take before entering into a contract with you (Art. 6(1)(b) GDPR) and our legitimate interest in finding the right people (Art. 6(1)(f)). Keeping your application for future roles: your consent (Art. 6(1)(a)), which you can withdraw at any time.
Who sees it
Only the people involved in hiring for the role: the hiring manager, the people you would work with, and the managers who approve the hire. If the role is with another company in the Commercix group, that company sees your application too, and we will tell you which one. We do not share applications with anyone outside the group, except with providers who handle our email and documents for us (see section 06).
How long we keep it
- If there is no role for you now, we keep your application for up to six months after we reply, then delete it, unless you agree that we keep it longer.
- For future roles: we will ask whether you would like us to keep your application so we can contact you about later roles. If you agree, we keep it for up to two years. You can ask us to delete it sooner at any time.
- If you join us, your application becomes part of your employee file, which is covered by a separate notice for staff.
If you gave us original documents, we return them.
Your rights
As an applicant you have the same rights as anyone else under this policy (section 10): to see your data, correct it, have it deleted, and withdraw your consent to keeping it for future roles.
05Cookies and similar technologies
This website sets no cookies. It does not use local storage or any other way of storing information in your browser, and it has no analytics, advertising pixels, social media buttons or embedded videos or maps.
So there is nothing to agree to, and no cookie banner. Your browser may keep copies of the site’s files in its cache to load pages faster; that stays on your device and is not sent to us.
If we ever add something that stores information on your device and is not strictly necessary, we will ask for your consent first and update this policy.
06Who we share it with
We share personal data only when we need to, with:
- Service providers that process data for us under contract: website hosting, email, calendar and office software, video calls and document storage. They may use the data only to provide their services to us.
- Google, which receives your IP address when your browser loads the site’s fonts (section 03).
- Other Commercix group companies, where needed to answer you, to work with you, or for a role with them.
- Professional advisers, such as lawyers, accountants and auditors, who are bound by confidentiality.
- Authorities, courts and regulators, when the law requires it.
- A buyer or investor, if all or part of our business is sold or reorganised, under confidentiality obligations.
We do not sell personal data, and we do not share it for advertising.
07Transfers outside the EU
We keep personal data in the European Union where we can. Some of our providers, such as Google, are based in the United States or use staff and servers there.
Our teams work from Sofia, Berlin, London, Warsaw and Osaka, so colleagues outside the European Economic Area, in the United Kingdom and Japan, may see your messages when they need to, for example to answer you or to hold a call.
When personal data leaves the European Economic Area, we rely on an adequacy decision of the European Commission (the United Kingdom and Japan have one, and so do US companies certified under the EU–US Data Privacy Framework), or on the Commission’s Standard Contractual Clauses, with extra safeguards where needed. You can ask us for a copy of the relevant safeguards.
08How long we keep it
- Website server logs
- Kept by our hosting provider for a short time, for security and operations.Exact period depends on the host.
- Emails and call notes
- As long as we need them to handle your request and any follow-up, then deleted, unless they become part of a contract or we must keep them by law.
- Customer, partner and supplier records
- For as long as we work together, and afterwards as long as the law requires.
- Accounting and tax records

- Job applications

- Legal claims
- Until the claim is settled or the limitation period ends.
09How we protect it
The site is served over an encrypted connection (HTTPS). We limit access to personal data to the people who need it, use providers that protect it under contract, and keep data in the EU where we can. No system is completely secure. If a breach puts your data at risk, we will tell you and the supervisory authority as the law requires.
10Your rights
Under the GDPR, you have the right to:
- access the personal data we hold about you and get a copy;
- have inaccurate data corrected;
- have your data deleted;
- restrict how we use it;
- receive the data you gave us in a portable format, or have it sent to another company;
- object to processing based on our legitimate interests, and to direct marketing at any time;
- withdraw your consent at any time, where we rely on it. This does not affect what we did before you withdrew it.
To use any of these rights, email [email protected]. It is free. We will reply within one month; if a request is complex, we may need up to two more months and will tell you why. We may ask you to confirm who you are first.
If you are unhappy with how we handle your data, please tell us. You also have the right to complain to the Bulgarian supervisory authority, the Commission for Personal Data Protection (2 Prof. Tsvetan Lazarov Blvd., 1592 Sofia, cpdp.bg), or to the data protection authority where you live or work.
11Children
This website is made for businesses and is not directed at children under 16. We do not knowingly collect their personal data. If you think we have, contact us and we will delete it.
12Changes to this policy
We will update this page when what we do changes, and put the new date at the top. If a change is significant, and we have your email address because we are in touch, we will also tell you by email.
