Eleven chapters. One desk.

Each chapter is one module, with the screen as it really looks and the rules it really follows. The marks show where AI reads or fills, and where a person decides.

Chapter 01 · Orders

One sale. Two owners. Every cost.

An order is one sale to one client. It holds the lines, the people running it, the trucks, the files and, later, the invoice. Its margin already counts the costs you tick.

  • Two owners. The logistics owner runs the order once it is sold. The sales owner gets the revenue and margin in every dashboard.
  • Margin with the real costs.Transport counts when Apply to deal costs is ticked. Coldstore storage and handling is worked out by BOSS from the lot, per pallet and per day.
  • Steps and the board.Steps are the order’s own checklist. The board groups orders by how far along they are.
  • Repeat order.Copies client, lines and prices into a new order. Invoice and payment fields start empty.

AI reads or fillsAI agents connected to BOSS write the readiness score and its note, and can enter a new order from an email you hand them. Nobody edits the score in BOSS.

A person decidesYou set the status. Finishing every step does not complete an order, and BOSS never moves it along by itself.

Chapter 02 · Paperwork out

Five documents from one order.

Sales order, purchase order, trade document, transport contract and invoice, each filled from the order, the client and the company settings, in one or two languages.

  • Traceable numbers.A number like SO-20261105-48-127-2214 ends in the order number, so a reply by email leads back to the deal.
  • What stops a document. The trade document will not print without approval number, origin, loading place and fresh or frozen. Batches can be filled in at loading.
  • Sent for signature.Sales orders, purchase orders and transport contracts go to the other side through Youtrust. BOSS shows Opened, Signed or Declined and keeps the signed copy.
  • Only attached documents count. An attached PDF gets its number and stays with the order. A download-only copy says DRAFT.

AI reads or fillsJev reads the preview and flags what may be wrong: a renamed product, an address in the wrong alphabet, a due date that does not fit the client’s terms. Language and defaults are picked from the client’s history.

A person decidesYou read “Worth a look”, fix what stops the PDF and create it. Our side never signs automatically.

Chapter 03 · Paperwork in

Every file checked against its order.

A supplier invoice, a CMR, a certificate: the moment it is uploaded to an order, BOSS reads it and compares it with the order’s lines, dates and totals.

  • Only when it is sure. The check flags an issue only with high confidence. A clean file says “No issues found”.
  • Field, expected, actual. Each issue says where it is, what the order says, what the document says, and what to do.
  • It adds up.Files with open issues show in the Issues column of the orders list and on the Order Quality dashboard.
  • Steps too.Files attached to an order’s steps are checked the same way.

AI reads or fillsAn OpenAI model reads every file uploaded to an order and compares it with the order. Jev, a second model that gives typed judgments, double-checks each issue before you see it.

A person decidesYou mark each issue: correct as it is, resolved in the document, or known and accepted. Your note and your name are kept with it.

Chapter 04 · Invoices

Numbers that never break.

Invoices are issued from their order. The register keeps every number, every version and every PDF, finds gaps, and builds the monthly sales ledger for the VAT return.

  • One number, one order, for good.Within a series, numbers run in date order. BOSS refuses a save that would break it and names the number in the way.
  • Cancel, don’t delete.A cancelled number stays issued at 0. Only the newest number can be freed, and only before the 14th of the next month.
  • Corrections.Reissue the same number before the client has it. After that, a credit note (3…) or a debit note (5…), or annul and replace with an annulment protocol.
  • Ready for the VAT return. The sales ledger lists the month’s invoices and notes with tax base and VAT per rate, as Excel or CSV.

AI reads or fillsThe dialog opens filled in: series from the Express or Funded tag, the next free number, the buyer from the company, the 0% reason when the buyer’s country settles it, the factor’s bank when Ledgvero says the client is factored. Jev compares the due date with the client’s terms.

A person decidesIssue is your click. Anything “to fix” stops it. Agents can issue too, through the same checks.

Chapter 05 · Transport

Carrier quotes, read and ranked.

Paste a carrier’s email or chat message and BOSS turns it into offers: route, mode, packaging, load, price and how long it holds. Booked trucks become transportations on the order.

  • Compare per kilo. The €/kg @ 21 t column divides each price by the tonnage you choose. Add a second column to compare two loads.
  • Old quotes expire. An offer turns Expired the day after Valid until, or 60 days after its date. Offers entered twice are archived.
  • Lanes to re-quote.The Transport quotes dashboard lists lanes we load on with no active quote, busiest first.
  • The booked truck.A transportation holds carrier, dates in their own time zone, addresses, plates, price and whether it counts in the margin. Generate contract makes the carrier’s contract.

AI reads or fillsAn OpenAI model reads the pasted message: route, price, mode, packaging and trip type, one offer per route. Every 6 hours BOSS fills missing countries and units and archives duplicates. Agents ask for the best quote for a route.

A person decidesYou check the new offers and fix what was misread. You choose the carrier and book the truck.

Chapter 06 · Coldstore

Stock you never type.

Each lot is one product bought in one go and stored in one coldstore. What is left is worked out from its dated history: sales, drip loss and re-counts. Holds reserve kilos without selling them.

  • Every change is dated.Sale, Drip Loss, Pallet Count, Storage Price, Unloading and Expedition are recorded as updates with a change note. They are never edited.
  • Selling needs a record.Linking an order to a lot lists it under the lot. When you create the order, BOSS asks whether to record the sale.
  • Storage per pallet, per day.Storage runs from the delivery date until the pallet count is 0. Each order carries its share of the lot’s pallets.
  • From purchase to stock. On a purchase (PUR-…), Record in coldstore opens the new lot already filled in.

No AI hereArithmetic you can check. Every kilo and every euro traces back to a dated update.

A person decidesYou record sales, drip loss and re-counts. A sale cannot be bigger than what is available after holds, and the error says how much is on hold.

Chapter 07 · Returnables

Crates, pallets and hooks come back.

A trader sits in the middle, so every crate moves from one company to another. BOSS keeps the movements, works out who holds what and what it is worth, and writes the letter that asks them to confirm.

  • Balances are never stored. Each one is added up from the movements, so it can always be traced.
  • Reverse, never edit.A wrong movement gets an equal one the other way. Both stay in the history, crossed out.
  • Paperwork with the relationship.Handover protocols, CMRs and signed balance confirmations are filed once and linked to the movements they cover.
  • A statement on schedule. The RTI balance goes out by email on the day you set, working days and Bulgarian holidays included.

No AI herePlain sums on dated movements, from the paperwork.

A person decidesYou record each movement as the paperwork says. Direction is everything: from the company the items left, to the company that has them now.

Chapter 08 · Getting paid

Ledgvero decides what is overdue.

BOSS mirrors Ledgvero for every invoice Ledgvero holds, and reads each client’s credit cover live while you enter the order. One rule everywhere, so every screen agrees.

  • Every 15 minutes.BOSS copies paid amount, balance due, settlement date, due date and status from Ledgvero. Those fields are locked in BOSS, for people and agents alike.
  • A payment date is not a payment.A factoring advance or part-payment leaves the invoice unpaid until the paid flag is set.
  • Credit cover, live.Insured limit, credit limit, outstanding and factoring, read from Ledgvero each time. The tighter limit decides what is left.
  • Closed for trading.Saving an order for a client Ledgvero has closed asks you to confirm first.

No AI hereThe same rule on every screen: what is owed and what is overdue come from Ledgvero. BOSS never writes to it.

A person decidesChange a payment in Ledgvero and BOSS picks it up. Selling past the limit, or to a closed client, is your call, made on purpose.

Chapter 09 · Clean records

The spreadsheet, checked line by line.

Upload the Summary of Revenues and BOSS matches every invoice, line and price against its orders. Duplicate companies, names that differ from Ledgvero and free-text product names get their own review pages.

  • A blank never clears BOSS.A field is flagged only when the Excel has a value. Every fix checks BOSS again before it writes.
  • Product names stay as typed.BOSS maps each spelling to a concept in the Meat Ontology beside the data, so “pork bellies” and “Свинска гърда” count as one product.
  • Merging keeps the history.Orders, lots, returnables, notes and documents move to the company you keep. Every moved row is in the audit log.
  • Ledgvero stays untouched.Names vs Ledgvero changes only the BOSS company. A fix on the Ledgvero side is made in Ledgvero.

AI reads or fillsResolve with AI creates a missing order from the Excel rows and asks you to pick the customer or the coldstore lot when it is unsure. The ontology suggests a concept for each product name. Jev judges look-alike company names.

A person decidesYou Apply each fix, Accept each concept and Merge each pair. A name is only matched automatically when the match is exact.

Chapter 10 · Analytics

Every number back to its orders.

Eighteen dashboards read the same orders with the same rules: revenue excluding VAT, gross profit after the costs you ticked, overdue from Ledgvero. Each help page says which orders a dashboard counts.

  • Revenue Ledger. The Summary of Revenues rebuilt from orders: one line per product, one section per month, gross profit after deal costs.
  • Forecast.Plain statistics: when open invoices will likely be paid, which clients are due to reorder, and how accurate it has been.
  • Order Quality.Orders with gaps: missing invoice details, flagged documents, unfinished steps, no incoterm, lines without a supplier.
  • Freight and quotes. What trucks cost, by lane and carrier, against what carriers quoted for the same lane.

AI reads or fillsClaude writes the “What it means” paragraph only when someone clicks Explain this, from that section’s figures alone. When the figures change, it says so.

A person decidesEverything else is arithmetic on orders. You choose the period, the tags and the owner, and open the orders behind a card.

Chapter 11 · Agents

Ask Claude. It works in BOSS for you.

Connect Claude and ask BOSS anything in plain words. It finds the orders, shows them to you, and fills in what you say yes to.

  • Plain words.Ask the way you would ask a colleague, in any language.
  • It shows the orders.Every order Claude mentions is the real one in BOSS, so you can check it.
  • It asks first.Claude fills something in only after you say yes.
  • Your name on it.Every change is saved with your name and the time.

AI reads or fillsClaude reads BOSS for you and fills in what you approve: orders, documents, trucks and notes.

A person decidesYou say yes before anything changes. Some things, like payment details, BOSS never lets an assistant touch.

The desk, wired in.

BOSS holds the deals. Credit, companies and products come from the tools that own them, and it says which one wins when two disagree.
