Two people spent every morning typing.
Buyers ordered by WhatsApp, email and phone, in Polish, German, Italian and English. Two people in the office typed every order into the ERP before the plant could plan the day.
Product names were the harder part. One buyer’s “Schweinenacken” was another’s “karkówka”, and a wrong match meant the wrong cut on the truck.
The plant could not start planning until the orders were in, so every delay in the office became a delay on the floor. On a busy Monday the first shift was sometimes already working before the order list was final.
Everyone knew it was a problem. Nobody had time to fix it, because the people who could fix it were the ones typing.
The typing was slow. The matching was risky.
The map showed three hours a day of order entry. The bigger cost was hidden in it: every week a few orders had to be fixed after loading, because the name and the spec didn’t match.

The steps we changed first
The matching step was the one that worried the owners most. A wrong name meant a wrong cut, and a wrong cut on a truck to Germany is an expensive phone call.
Most of the confusion came from about thirty product names that buyers wrote in their own way. Once those were matched to one spec, most of the risk was gone.
Read it, match it, send it.
We started with the messages, because everything else depended on them. Then we taught the system the names each buyer uses, and finally sent the price list out on its own each morning.

The office still reads every order before it goes to the plant. But now it reads a finished order, in the ERP, with the spec already matched, instead of typing it from a photo of a WhatsApp message.
Buyers did not have to change anything. They still write the way they always have, in their own language.
Twenty minutes, and the right cut.
The two people who typed orders now plan production and talk to buyers. Orders reach the plant before the first shift starts.

The plant now plans from a complete order list before the first shift. Corrections after loading became rare.
The two people who used to type orders now spend their mornings on planning and on calls with buyers, which is the work they were hired for.
